Streamlining ABA Processes with Theralytics

I recently had a chance to talk to Zo Rana, the Founder and CEO of a new tech company, Theralytics.  Based in the San Francisco Bay area, the company grew out of his own experiences in Software Development and a Board Certified Behavior Analyst (BCBA).

In his 13 years of experience in Applied Behavior Analysis (ABA), he has founded two ABA agencies, and took them out of the startup phase through the scaling process – all while working to ensure quality services.  In doing so, he noted “I came to understand the importance of practice management software” through his own frustrations with processes of the past, and created Theralytics as a solution.

His team of professional engineers built and continuously refine their software around the daily challenges faced by BCBAs managing a caseload.  Every day he asks himself the question “What are the most important things you need to do for the everyday BCBA?”  Only three months in, the company already has a growing client base of ABA agencies within and outside of the U.S.

The app aims to make otherwise burdensome and time-consuming administrative tasks as streamlined and effortless as possible.

Scheduling & Billing

He noted, “the scheduling component is similar in many ways to Google Calendar.”  You can use your phone to make appointments for specific clients and specific activities that are linked to billable CPT codes embedded in the software.

The codes are tailored specifically to the insurance providers you work with and the regulations in your particular state, negotiated rates, and even rounding rules. BCBAs and front-line staff simply select the activities completed during a session and the app handles the rest on the back end.

Reports

Part of the back-end work includes the availability of reports at the tap of a button.  Zo noted that “administrative staff can quickly view financial reports, integrated with overhead costs, billing, and payroll.”  The latter is customizable for any state, and automatically accounts for payroll laws in your area, including overtime, double overtime, mileage, and more.  Further streamlining is made possible with seamless integration with Quickbooks, ADP, Gusto, and other payroll applications.

Moreover, given the explosion of Registered Behavioral Technicians (RBTs) in the field, the app has an embedded supervision log that automatically generates reports.  During the supervision process, the BCBA simply taps a button to generate a log at any point in the month that meets Behavior Analyst Certification Board (BACB) reporting requirements.

On the Horizon

I also asked Zo what we can expect from his company in 2019.  He said that Theralytics is currently working with BCBAs to develop a data collection portion of the app.  Expect to see a variety of real-time data collection features integrated with treatment plan goals and reports customized for different payers.

Next Steps

If you are interested in using Theralytics at your agency, reach out to them today to set up a free demo and ask questions.  Their team of engineers can provide flexible and custom solutions for your specific needs, including for those starting their own practice who might not have clients immediately.  Zo noted that their training and support is “free and ongoing” and will have your team fluent with the app within just a few weeks.

He also stressed that his team provides much in the way of custom development for all aspects of your agency.  Examples include secure online portals, chat rooms, game development for clients, and much more.

Finally, if you plan to attend the upcoming conferences by the California Association for Behavior Analysis (CalABA) and the Association for Behavior Analysis International (ABAI) Autism conference, be sure to stop by their booth and say hi.
